You work to assist the local sales in multiple countries and are in touch with customers, local sales teams, logistics forwarders and warehouses for arranging the execution.

Responsibility

Order management & Complaints handling / Sales support (50% of the position):

  • Processing sales orders in an accurate & timely manner (Order Book Management: SAP registration; pricing checks, goods allocation; managing back orders with customer / sales team / planning)
  • Solving Price discrepancies
  • Managing deliveries with 3PLs on highest customer’s satisfaction:

- Informing customers about delivery dates;

- Scheduling orders with warehouse/carrier to ensure the timely delivery;

- Delivery follow up;

- Issuing accurate & timely shipment/export documentation

- Meeting the company’s TPW cost targets.

  • Processing Transport claims – register, check and evaluate liability, maintaining feedback with customers, following up on potential related penalties
  • Proactively checking the “AR claim report” and helping to close the open unpaid invoices
  • Processing the approved Free of charge orders
  • Keeping clear records over incoming and outgoing correspondence & archiving all purchase orders from customer
  • Participating in cross-functional projects
  • Securing preparation of revenue samples in the team
  • Keeping close track of sales plan per account, and helping to achieve sales target
  • Providing clear and qualified information towards customers (on availability, lead-time, MOQ, etc.)
  • Being engaged in regular dialogs with sales department, demand planners, distribution centers, credit controllers, SF.com department, and organizing review meetings.

Leading the team & Process (50% of the position)

  • Supervising the order fulfillment process of the customers on European level
  • Leading a team of 5 people, conducting regular meetings with the team, provide coaching, and training newcomers. You will be also responsible for performance reviews, managing resources within the team, and ensuring a back-up structure is in place.
  • Take the lead in implementation of process improvements inside the team
Purpose Of The Position

The Order Fulfillment Supervisor is responsible for managing a team of 5 Order Fulfillment Specialists, each with their own assigned portfolio. In this role, you will be accountable for ensuring high level of customer satisfaction regarding order/delivery management, and handling complaints.

You will also play a strong role in providing support to the Sales organization, as well as continuously improving service levels for the company.

We expect you to also provide the support in knowledge, to help in organizing tasks with focus on monitoring activity and results, to supervise processes and projects, and to support your team.

This position in based within a Shared Service Centrum (SSC) located in Prague, and is being a part of the Amsterdam-based Sales Operations team. You will be reporting to Head of Operations for PPDS, who is located in Amsterdam.

Education And Related Experience
  • Must-have requirements:

    • Minimum 5 years’ experience in customer relationship and/or supply chain.
    • Fluency in English
    • Previous leadership experience, abilities to motivate and develop the team
    • Good Excel skills
    • Structured approach & close loop follow up
    • Ability to work under pressure in an ever-changing environment, where deadlines have to be met
    • Team player with responsible approach to work
    • Excellent communication skills - we prefer clear and direct communication
    • Analytical mindset and proactive approach to problem solving
    • Positive attitude and outside-the-box thinking
