Are you looking to become an integral part of a dynamic team in a friendly and international work environment? We are excited to extend an opportunity for an Office Manager Assistant to join our Prague-based team within our medium-sized European Shared Service Centre. This role includes support responsibilities for the CEE and SEE regions.

As the Office Manager Assistant, you will be at the forefront of our office's operations, contributing not only to our daily activities but also to regional back-office initiatives. You will join our office management team, working closely with HR and IT departments to ensure the efficient functioning of our workspace. Your friendly and approachable demeanor will be crucial in greeting and assisting colleagues, visitors, and clients who walk through our doors.

  • Organize day-to-day office operations
  • Oversee facility-related tasks, which involve property defect reporting, supply and refreshment orders, maintaining asset lists and property records, handling badge evidence, and updating seating plans
  • Assist in planning both internal and external meetings, including tasks such as booking meeting rooms and arranging agendas and refreshments
  • Coordinate post and courier services, responding to requests and emails
  • Support travel arrangements by managing flights, hotels, and transfers
  • Contribute to the planning and execution of various internal and external events
  • Create purchase orders, diligently track payment statuses, and manage the payment processing
  • Manage car fleet activities, ensuring accurate handling of car reports and inputs for payroll
  • Coordinate document signing processes

Education And Related Experience
  • Secondary school / University degree
  • Experience in administrative/assistant/receptionist position is welcome
  • Fluent in English and Czech/Slovak, any additional language is an advantage
  • Working knowledge of MS Office
  • Proactive, flexible, with a positive mindset; able to work independently and learn quickly; adept at multitasking
  • Highly organized, reliable, and accurate
  • Excellent communication and organizational skills
