Scope

This position is based in Amsterdam as part of a team Of Office Managers and reports to the HR Director with a dotted line to the CEO. In this role you liaise with different departments as well as different international stake/shareholders.

Purpose Of The Position

The Office Manager provides support on all levels of the organization and contributes significantly to the effective running of the organization. You will be handling incoming phone calls and other communications, greeting visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands. You can be part of projects such as business or employee events. The role requires a flexible attitude and willingness to travel.

Responsibility
  • Answer phones and transfer to the appropriate staff members
  • Take and distribute accurate messages
  • Greet public and clients and direct them to the correct staff member
  • Coordinate messenger and courier service
  • Receive, sort and distribute incoming mail
  • Monitor incoming emails and answer or forward as required
  • Creating purchase orders and monitoring payment of Office Management related invoices
  • Update and maintain internal staff contact lists
  • Organize travel arrangements for staff
  • Co-ordinate and organize appointments and meetings
  • Assist with event planning and implementation
  • Ensure office equipment is properly maintained and serviced
  • Perform work related errands as requested
  • Keep office area clean and tidy

Education And Related Experience
  • MBO Diploma or equivalent
  • Business college training an advantage
  • Previous office experience may be requested but this can also be entry level position
  • Competent computer skills including MS Office
  • Internet skills including use of e-mails, group messaging and data collection
  • English and Dutch required. Chinese is an advantage
